Locations Manager Rollout Guide
Locations Manager is a central hub for managing parts of a business across multiple locations. With Locations Manager, items and menus can be shared across some or all business locations.

📌 Latest update (25 September 2026):
We’ve decided to limit Locations Manager (LM) exclusively to merchants who have already activated it.
- Over 1,000 businesses currently have Locations Manager active. Locations Manager has been removed as an activation option for all other merchants.
- We’re currently building an internal mechanism to deactivate LM for merchants who want to revert to the previous setup, with plans to add an in-product self-serve option later. In the meantime, if you have a merchant who needs LM deactivated, please reach out directly to the
Partner Ops Team.
ℹ️ Locations manager is the definitive solution for sharing
- Items and menus sharing is only possible with Locations Manager enabled. Meaning that locations which do not have it enabled will not be able to share any further.
- We intend to simplify complex sharing, and while this does remove flexibility, it greatly simplifies our ability to provide high-performance, intuitive configuration for our merchants.
- Only excluded business are able to share without Locations Manager.
First of all, it’s very important that you:
- Share items while keeping menus local
- Share both items and menus
- Activate Locations Manager

‼️ There is no way to perform these actions using the old logic. If you experience activation problems, contact Partner Ops with specific examples.
‼️ If online orders (such as Deliverect) stop coming through after activating Locations Manager, make sure to add the Back Office user responsible for online orders to Locations Managers via the Back Office user level: Back Office > POS > Users > … > Edit Business locations).
1️⃣ Activation fails (“Something went wrong” / stuck loading / bounces back)
2️⃣ Local items get “locked”/frozen and can’t be shared, deleted, or have approval status changed
- Cause identified: Items locked or item invisible in LM so its sharing status can’t be changed). In other cases, a merchant is unable to archive/delete or unlink partially-shared items, and businesses with LM not active losing the ability to change local item approval status.
- Solution: The promote child items to LM Support script pulls local items into LM and marks them shared. This is a manual process.
3️⃣ Sync/behavior gaps after activation (pricing, menu IDs, deleted menus, Back Office/reporting access)
- Cause identified: Price updates not propagating to all shared locations; duplicate Menu IDs applied across locations post-migration; a shared menu being deleted entirely when unlinked; items promoted via the Support script syncing to the Back Office but not yet to other payment platforms; LM showing up as its own separate location in the Back Office manager; needing to manually add LM as a location for each BO user rather than in bulk; and login now landing users on LM’s item/menu tabs with no direct path to reporting.
- Solution: No fixes confirmed yet. Still awaiting Product feedback.
Certain businesses were excluded from the rollout because they have an existing template location.
- To prevent duplicate location creation, these accounts require a manual conversion using a support script before joining the new setup.
- Contact the Partner Ops team if an excluded business wishes to opt in to the rollout, or if an unexcluded merchant wants to designate an existing non-trading location as their Locations Manager (include both Business location IDs).
Once Locations Manager is deployed, item and menu sharing will strictly require the feature to be enabled.
- Locations without it active will lose sharing capabilities.
- While this change reduces some legacy flexibility, it removes complex sharing edge cases to deliver a faster, more intuitive configuration experience for merchants.
Did the wrong location became Locations Manger?
- While rare, if a trading location was incorrectly designated as the Locations Manager, the change can be reversed using a support script.
- If you suspect an incorrect assignment, please contact Support or the Partner Ops team immediately.
Main Location with * in the name?
- We identified some merchants with either a transactional template or a main location.
- Those locations will show on top of Locations Manager in the Business Location (BL) list but is as any other location.
- Locations Manager needs to be activated to share items and menus.
Troubleshooting: Error identified when activating Locations Manager
1️⃣ Item group have item group within them : remove second level of group items
2️⃣ Out of sync menus
‼️ How to: Making local items sharable
Currently, local items in child locations cannot be promoted to Locations Manager via the Back Office for sharing.
Solutions are rolling out across three phases:
- Currently, Support can run a support script to promote local items so they become sharable.
- We’ll soon be introducing an AI-assisted tool (via Lightspeed AI) to streamline item promotion for merchants.
- We’ll also add full native support to promote items directly within the standard Items Library.

Item name
Shared / Partially shared : Anyone can change. Affects globally.
Global / Fully shared : Anyone can change. Affects globally.
SKU
Shared / Partially shared : Anyone can change. Affects globally.
Global / Fully shared : Only LM/All locations users can change. Affects globally.
Currently, users can modify an item’s SKU and name even without access to the Location Manager or the other locations sharing that item, which affects those external locations. The product team is actively prioritizing a fix for this issue.

Feedback confirms merchants expect to customize button names and colors for shared items in local menus. We plan to restore this feature.
↪️ Item deletion
Location Manager currently counts as a location which is live, which blocks the item deletion action for any items in the business.
We’ll looking into prioritizing unblocking item deletion in case all other locations are still in trial mode.
↪️ Sharing items from the items detail page
Today it is only possible to manage item sharing status and the locations with which an item is shared from the item list, not from the item detail page.
We’re planning to add this ability to the item details page.
↪️ Compatibility with price lists
Today, use of fully shared items is not compatible with use of price lists.
Unlike in the past, items can now be moved from fully shared to partially shared (moving sharing status down was not possible in the past).
We’re looking into ensuring price lists and fully shared items can be compatible, but this work is not committed at this point.
↪️ Item syncing behavior and draft menus
Currently, shared menus sync all changes automatically except newly created menu buttons, which require a manual forced sync. To update this behavior, we will release two combined features soon:
— Draft menus: Edit menus without pushing immediate live changes to child locations.
— Auto-syncing new buttons: Enable automatic sharing of new buttons by default.
🔢 Menu V1 vs. V2 compatibility
Ahead of the Locations Manager rollout, menus were migrated from V1 to V2 architecture; however, merchants with unsynced menu changes were temporarily excluded from automatic migration.
How to spot it: The merchant is unable to share items or menus to specific locations within Locations Manager.
Next steps:
- Ensure all merchant menus are fully synced.
- Contact the Partner Ops team to confirm V1 status and run the support script to migrate menus to V2.
